The Art of Saying Thank You

A thank you note is primarily an expression of appreciation for a gift, a thoughtful gesture or someone’s hospitality. But it can also say so much about you, the sender. Which is why it’s important to do it right.

profile2In the age of e-mail, voicemail, texting and social media, paper note cards are still important, particularly for thank you notes and condolences. And who doesn’t love getting something personal in the mail? Although there are many sentiments that can be passed along this way, we’ll focus on the most common (and most commonly overlooked) – the thank you note. While there are plenty of preprinted greeting cards available, it’s actually more personal to use a beautifully printed note card with your own handwritten message.

The Anatomy of a Note Card
Whether you’re designing note cards, or shopping for your own, the guidelines are pretty much the same. A note card should be a reflection of the sender. Think about what the card should say at first glance.

Let’s start with the “bones” of the note card – the paper. Is it environmentally friendly? As more people become eco-aware, this can be an important consideration. Don’t Sweat the Thank You Note
Before all the other rules, just remember that it doesn’t have to be perfect. A note that comes with heartfelt appreciation is always well received. But just in case, here are a few pointers on how to write a thank you note:

  • Send your thank you notes as quickly as possible. But if you feel you’re late, don’t blow it off. A late note is always better than no note at all.
  • The formality of your salutation, as well as the language in the note, should be based upon your relationship with the person whom you’re thanking, i.e. business associate, friend, casual acquaintance, etc.
  • Personalize the note to make it meaningful to the recipient. For example, reference the gift, as in “Thank you so much for the beautiful platter, it looks great on my table.”
  • Thank you notes should be addressed to the individual(s) who signed your gift card. When composing a thank you note for hospitality, simply address it to your host or hostess.
  • Here is an easy three-step formula:
  1. The first paragraph or sentence is the actual thank you and acknowledgement of what you are thanking them for.
  2. The next is why you are sending the note, such as what the gift or gesture meant to you, how you will use a gift, or what a great time you had.
  3. Last, recap the first sentence. Then follow with your complimentary close and signature.
